COORDINATION PROCESS BETWEEN JST JOURNAL AND CONFERENCE ORGANIZERS

1. Collaboration Proposal
The conference organizing committee (COC) sends a collaboration proposal to JST Journal, including the following basic information:
- Conference name
- Date and venue
- Main topics
- Expected number of papers
- Preferred type of collaboration (proceedings publication, journal publication, or both)
2. Signing the Agreement
Once both parties reach a consensus on the scope and content of the collaboration, a Memorandum of Understanding (MOU) or Memorandum of Intent (MOI) will be signed to formalize the partnership.
II. FORMS OF COLLABORATION
There are threemain forms of collaboration:
1. Proceedings Publication Collaboration
JST Journal supports the COC with the following tasks:
- Assigning ISBN to the proceedings
- Assigning DOI to each article
- Providing peer-review support (if needed)
- Managing paper submission via the system or email
- Editing, formatting, and printing proceedings upon request
Articles published in the proceedings will not be included in JST Journal to ensure academic integrity and adherence to publication principles.
2. Journal Article Publication Collaboration
High-quality papers recommended by the COC or chosen by authors will:
- Be submitted directly to the JST system at https://jst.vn
- Undergo an independent peer-review process to meet academic standards
- If accepted for JST publication, they will not appear in the proceedings
3. Extended Versions from Proceedings
Authors may extend their conference papers for submission to JST with the following conditions:
- At least 30% new content (data, analysis, discussion, etc.) must be added
- The original proceedings version must be clearly cited
- The paper will undergo the regular submission and review process on JST’s system
III. PROCESS ON THE JST SYSTEM
- Signed MOU/MOI agrees on schedule and contact points
- The COC appoints 1–2 Guest Editors to serve as liaisons between both parties
- All authors, reviewers, and editors must register at: https://jst.vn
- The COC provides a reviewer list (if applicable) so JST can create accounts and assign reviews
- The COC submits a preliminary list of papers for tracking and processing
- JST is responsible for organizing the review, editing, and publication
- The COC supports communication and author follow-up until articles are accepted
IV. ARTICLE REQUIREMENTS
- Articles submitted to JST must be original and unpublished elsewhere
- All submissions undergo a double-blind peer review process
- Articles must follow JST's formatting and structure guidelines
- Extended versions from conference papers must include at least 30% new content and cite the original version in the proceedings
V. SUGGESTED TIMELINE
- JST submission deadline: At least 2 months before the conference
- Peer-review period: Up to 2 months (can be shortened if needed)
- Acceptance and publication timeline: Flexible according to the needs of the COC
